The Opportunity
We are seeking a highly organised and proactive Executive Assistant to join our team on a 12-month fixed-term contract. This is a fast-paced and varied role requiring strong judgement, outstanding stakeholder management, and the ability to manage competing priorities with professionalism and discretion.
Based in our North Sydney office, this role is onsite five days per week and plays a critical part in supporting 2x senior leaders within a dynamic and high-performing environment.
You will play a key role in enabling executive effectiveness, ensuring smooth day-to-day operations, and supporting important business initiatives across the organisation.
Key Responsibilities
• Deliver excellence across all core Executive Assistant responsibilities, including complex calendar and inbox management, travel coordination, expenses, communications, and administration
• Proactively partner with senior leaders to ensure they are well prepared for meetings, commitments, key milestones, and business priorities
• Act as a trusted gatekeeper and primary point of contact for internal and external stakeholders
• Build strong business understanding to anticipate needs, identify opportunities, and support effective decision-making
• Coordinate team priorities and support the delivery of key business objectives
• Assist with special projects, leadership events, meetings, and broader business initiatives
• Foster strong working relationships across the organisation while maintaining confidentiality and professionalism
About You
You are highly organised, proactive, and thrive in a fast-paced environment. You enjoy building relationships, managing competing priorities, and supporting senior leaders to operate at their best.
In addition, you will have:
• Previous experience in a Personal Assistant or Executive Assistant role (5+ years), ideally within FMCG or a similarly fast-paced environment
• Demonstrated ability to manage multiple priorities and deliver high-quality outcomes with minimal supervision
• Strong judgement and the ability to prioritise effectively in a dynamic and ever-changing environment
• Excellent communication and stakeholder management skills, with confidence engaging senior leaders and external partners
• A collaborative approach and willingness to support broader team objectives
• Strong capability in leveraging technology, systems, and digital tools to improve efficiency and ways of working
• A proactive, solutions-focused mindset, coupled with a positive and dependable attitude
• Proven ability to build trusted relationships across all levels of an organisation
• Exceptional organisational skills and meticulous attention to detail
• Agility and resilience, with the ability to adapt quickly to changing priorities and business needs
• Demonstrated discretion and professionalism when handling confidential and sensitive information
