Sr Assistant, People Services Payroll

Job Purpose
In this role you will be part of Bulgaria People & Culture (P&C), People Services Team.
You will be working as a member of the People & Culture team, but you will be People Services (PS) Admin & Payroll - The post holder will be responsible for general payroll administrative tasks, time tracking system and reporting, labour medicine activities, mobility and tax coordination, administration of employees’ benefits. You will also manage the day-to-day People Services administration queries in providing assistance and information for PS relevant questions.
Key Responsibilities
Payroll
• Responsible for collecting, processing payroll data/ relevant documents and delivering it to payroll provider in timely manner
• Maintains all personal records (contracts, labor books, personal data, etc.) in accordance with the Bulgarian Labor Law
• Responsible for archiving documents (leave requests, sick leaves documents, maternity leaves documents, overtime, etc.) as per statutory requirements
• Provide administrative services to employees’- related to issuing of notices, documents, etc. upon request
• Supports PS payroll processes – PS induction sessions, PS forms updates, PS information communication, etc.
• Responsable for preparation of termination documents
• Prepares reports related to absences, maternity leaves, vacation use, overtime, personal information, etc.
• Preparation, verification and delivery of payroll related documents to employees (income statements, certificates and other upon request)
• Deliver People Services operations in compliance with CCEP processes and SLAs
Time & Attendance
• Responsible for administration, verification and maintenance of data in the system
• Create/deactivate user accounts
• Provide reports to the Management – regular & ad-hoc
Ticketing system
• Manage and provide closure information to employees’ requests through SNOW system and within SLAs
Health & Safety
• Responsible for Labour medicine documents - preparation and submission with authorities and external labour medicine provider
• Responsible for periodical Health and Safety Instructions
Benefits
• Administration of employees’ benefits (sport services, health insurance services and food vouchers) - distribution, communication (internal and external), provide reports to Payroll Manager and Leadership on a regular basis
Mobility and Tax
• Supports activities related to international appointments/assignments;
• Preparation and coordination of documentation for all impacted employees (expats). Communication with internal and external mobility providers, ensuring strict process and compliance with Company’s policies and legislation
Planning and Organization
• Manage projects related to own area of work
• Anticipate the implications of new regulations/legislation and determine the most appropriate method of implementing changes
HR Admin
• Processing new hires and internal moves in the HR Master data Onboarding stage
• Processing employee personal data in the HR Master data system
• Processes, as per CCEP procedure, and in timely manner all new hires and internal moves (contract changes) in the PS Master data system
Key Stakeholders
• Local Leadership, people managers, employees
• Local Business Units - service delivery and support PS Professional and P&C BP
Experience preferred
• Payroll experience – 1-2 years
Qualifications required
• University degree in Human Resources or Economic field
Functional and technical skills required
• Knowledge of local employment law
• Ability to analyse information with attention to detail
• Communicates clearly, both orally and in writing
• Builds and maintains effective working relationships
• Identifies opportunities to continuously improve and deliver an effective PS service
Learning & development in role

Language capability
English – Fluent, both written and spoken
Any other language is an advantage
