Coordinator, Talent Acquisition France - temporary

Job Purpose 
Ensure the smooth running of our early careers recruitment campaigns (trainees/apprentices) by handling all administrative coordination aspects of the recruitment processes relating to these campaigns.

Key Responsibilities

60/70% HR admin 

  • Prepares administrative procedures and hiring formalities for the trainee/apprentice population (approx. 250 students/year)
  • Launches administrative onboardings via our ATS Success Factors
  • Sends the welcome e-mails to all future interns and apprentices 
  • Works closely with various internal departments (People Services, department assistants, trainee tutors) and external stakeholders (schools, OPCO, recruiting agency piloting part of our campaigns on RPO-model) to ensure all administrative documents are properly filled
  • Manages outstanding payments for work-study contracts, raises and updates purchase orders, in collaboration with the Buying desk on behalf of our suppliers
  • Monitors and regularly updates our internal dashboards 
  • Handles routine questions and requests from trainees/work-study students
  • Collects, scans and archives all mailings regarding the administrative procedures.
  • Positive representative of the TA team, and of CCEP, when dealing with candidate enquiries and communication, ensuring the highest standards of customer service in line with agreed standards.

30/40% Talent Acquisition 
As the early careers campaigns are cyclical, considering the period and the workload, the candidate will also be required to take part in recruiting tasks and in the coordination/operational implementation of school events.

  • Candidate management through the recruitment process, including publishing vacancies, managing applications, screening CVs and pre-selecting candidates, scheduling interviews 
  • Monitors candidate progress through the selection process, ensuring the Applicant Tracking System, and other relevant Customer Relationship management systems, are kept up to date with relevant commentary and status updates. Able to access system information and report campaign progress.
  • Manages standard communication to unsuccessful candidates throughout the process.
  • Supports administrative and coordination elements in support of recruitment fairs and events and campus related activity.

Key Stakeholders  

Internal: Local TA team, People Services, TA Centre of Excellence, department assistants, trainee/apprentice tutors, buying desks.
External: Candidates (internal and external); schools ; OPCO; RPO agency; local vendors and suppliers.  

Experience preferred 
•    HR admin experience required on an early careers population for France : relationships with schools and OPCOs are country-specific with some legal, administrative and French-specific documents to be filled.  
•    1st experience in TA desirable. 
•    Experience of working in a fast-paced operational environment in a customer service based administrative role. 

Qualifications required

  • Bachelor degree- Business administration/ Economics/ Human resources management- preferrable, not obligatory

Functional technical skills required

  • Clear and logical approach to administrative tasks, with the ability to follow systematic processes with accuracy and speed.
  • Solid organizational skills – ability to multi-task and prioritize effectively
  • Strong attention to detail
  • Microsoft office skills (especially Outlook, Teams & Excel)
  • Fluency in French is absolutely required (both oral/written) for the role
