Job Purpose
The purpose of the Purchase Assistant position is to be responsible for the correct and timely follow-up of the processes surrounding purchase order and invoicing processing, with the aim of correct and timely payment of our suppliers so as not to experience disruption in our processes or in the delivery of our necessary materials and services. In addition, the goal is to relieve the internal organization and to carry out this task as an expert, including the follow-up of a conclusive report for our financial administration.
Key Responsibilities
1. Responsible for the follow-up of the processes surrounding purchase order and invoicing processing. The day-to-day responsibilities include creating, processing and maintaining Purchase Order (PO) requests, with a focus on placing the Purchase Orders for contractual suppliers in a timely manner, according to the specific needs of internal customers.
2. Point of contact for POs within the commercial organization and also provides advice to the internal and external stakeholders (suppliers) on PO process related matters.
3. Complete detailed administrative follow-up of the orders (Supply Chain excluded). This includes facilitating the various steps that lead to a timely and correct payment of invoices received, especially in the case of discrepancies between invoices and receipt.
4. Create suppliers and start requests in the Ariba Guided Buying (AGB) system, share relevant information such as cost category and delivery address, and ensure a correct cost structure and approval flow and support the suppliers with the requested administration input of AGB.
5. Follow-up of ad hoc requests from the business regarding the purchasing process. This task requires a flexible approach and a quick response to the constantly changing needs of the organization.
6. Play an important role in the end-of-year process, in which essential and timely steps are taken for the year-end closing, for the purpose of financial reporting.
7. The Purchase Assistant takes a proactive stance and communicates smoothly and independently with the various departments in the Dutch Commercial Business.

Experience preferred
At least 3 years of experience in a similar role
Qualifications required
1. Proficiency in English and Dutch language
2. Experience in administrative processing within financial processes.
3. Stakeholder management in various parts of the organization
Functional technical skills required
• SFDC, MS Office, Excel advanced
• SAP, Kofax, Ariba purchase system
